Definitions
Guest
“Guest” is the person who resides in the property with the client, and may be the same person as the client
Client
“Client” is the person who arranges the accommodation at the property. They may also be the guest.
Apartment or Property
“Apartment or Property” is the specific property in which the guest resides
Accommodation period
“Accommodation period” is the time which the guest resides at the property
Security deposit
“Security deposit” is the money held, or the credit card number in some cases against any breakages or damage done to the property during the accommodation period
Inventories
“Inventories” are schedules of Furniture and Fittings, including their condition. They can be taken at the beginning and end of the accommodation period. They are useful in preventing deposit disputes.

Booking process and payment
Booking process
Refresh must confirm availability with each property partner before confirming any reservations. Upon confirming a reservation we require full payment of the reservation unless stated otherwise upon confirmation. Your reservation is not confirmed until full payment for the reservation has been received by Refresh Accommodation. The client will then be issued with a booking confirmation and receipt of full payment. We will then provide you the client with location details, the property terms and conditions and any key collection process.
Clients may also be required to enter into booking or rental agreements with relevant landlords in addition to the client’s agreement with Refresh Accommodation. Any person booking on behalf of a guest shall be termed the client and will be held liable under the following Terms and Conditions.
Booking confirmations
No reservation is confirmed unless the client has received a booking confirmation from Refresh. Booking confirmations will be sent via fax, email or post on receipt of full payment unless stated otherwise.
Prices
Prices stated on the Refresh website are a guide only. Exact prices for a specific property will be confirmed by Refresh upon enquiry. Refresh reserve the right to amend any prices stated on the website at any time. Prices quoted are inclusive of VAT unless stated. Prices quoted are for accommodation only and any extras are not included in the stated price and will consequently be charged to the client as appropriate.
Currency and exchange rates
All prices and currencies stated on the website will be charged in pounds sterling. Exchange rates will be taken from www.xe.com at time of confirmation if requested.
Payment procedure
Refresh requires full payment of accommodation when making a reservation. No accommodation will be provided at check-in unless we have received cleared funds. If cleared funds cannot be paid prior to the day of occupying the accommodation, in certain circumstances Refresh may provide the clients payment details to the accommodation provider directly to process payment prior to arrival at the accommodation. Failure to pay in accordance with the agreed terms and conditions may result in retraction of reserved accommodation.

Refresh accepts the following methods of payment:

Company cheque
Credit Card / Debit Card (Visa, Mastercard, Amex, Diners Club, Switch, Maestro, Delta, Electron, JCB, Solo)
Cheques
Regrettably Refresh does not accept personal cheques. Refresh will accept company cheques. A reservation will not be confirmed until Refresh has received all cleared funds before arrival at any accommodation. Cheques must be made payable to Refresh Property Management Limited.
Bank Transfers
When sending a remittance please quote the Refresh booking reservation number / reservation name. A copy of the bank transfer request should be faxed/emailed to Refresh.
V.A.T (Value Added Tax)
All reservations are subject to British VAT at 17.5% unless otherwise stated for the first 28 days of reservations. VAT will be charged at 3.5% thereafter for the same name guest stay. Should the guest name change after 28 days, VAT will be charged at 17.5%. VAT will be included in the quoted price within your reservation total unless otherwise stated.
Credit Card charges
Regrettably Refresh will not cover any additional credit card charges which are determined by the card manufacturer.

Booking Terms and Conditions
Deposit
Upon confirming a reservation, accommodation providers will require a security deposit to be given (see individual property terms & conditions) either prior to arrival or upon check in.
Minimum and maximum booking period
The minimum & maximum booking period is determined by the property in question; please view individual property descriptions or Terms & Conditions. Refresh does not have a minimum booking period for any reservations but complies with any conditions set within the property’s Terms and Conditions
Cancellation of reservations
All cancellation conditions are subject to each individual property’s cancellation policy and Terms and Conditions. Changing Property is deemed a cancellation and as such will be subject to the cancellation policy set by the properties and Refresh. Despite any cancellation policy determined by a property, Refresh will require a £5.00 administration charge to be paid.
Check-in and Check-out
Both check-in and check-out terms will be highlighted for the reserved property at time of booking. Alternatively both check-in and check-out times can be found under each properties information page on www.refreshaccommodation.com
Security Deposit
Credit card imprints may be required on or prior to arrival to cover the cost of any key deposit, phone calls or any extras. Any extras must be settled in full prior to the client’s departure.
Clients should be aware that they will be liable for any damages or breakages caused whilst in the accommodation. At some apartments a security deposit may be required prior to arrival and the client will be notified if this is applicable.
The security deposit will be returned in full to the client at the end of the reservation period provided there have been no breakages or damages to the accommodation by the guest.
Amendments to reservations
Amendments to reservations can be made free of charge on all reservations. However please note that Refresh does not accept any responsibility for lack of availability that may become apparent at time of an amendment. An amendment to a reservation does not include a cancellation of a reservation.
Termination notice
Refresh may terminate the Contract immediately if payment of any sum due to Refresh is not made on the due date.
Arrival and departures
The client must arrive on the specified date upon confirmation. If the client does not arrive (without any notice to Refresh), within 24 hours, the reservation will be deemed as a ‘no show’ and will consequently be subject to a cancellation fee / no show charge as stated in the property partners Terms and Conditions. The client must depart on the date set out on the confirmation issued by Refresh.
Extensions to reservations
If the client wishes to extend the reservation period as set out in the original confirmation, the client must do so by notifying Refresh and confirming the extension and paying prior to the date of the original departure.
Accommodation Terms and Conditions
Agreement of occupation
Your stay with any property is not intended to confer exclusive possession on either the client or the guest nor to create the relationship of landlord and tenant between Refresh and either the client or the guest. Neither the client nor the guest will be entitled to any tenancy, or any assured short hold or assured tenancy, or to any statutory protection under the housing act 1988, or to any other statutory security of tenure now or upon the determination of this agreement.
Breakages and damages
The client named on the reservation confirmation is directly responsible for all breakages and damages to the accommodation caused by the client or its guests. If there are breakages or damages unnoticed at time of check-out, Refresh will notify the client by email within 2-weeks of the client leaving, providing a detailed breakdown of the issues and the costs of rectifying them
Miscellaneous
Key collection
The key collection process will be stated within the confirmation of the clients booking. Clients can only collect the key to the accommodation on the day of arrival or unless stated otherwise within the confirmation.
Privacy and Personal data
Refresh does not disclose personal data to third parties other than as permitted. Refresh operates a privacy policy. Any party to this contract consents to the processing of their personal data in accordance with the Data Protection act 1998.
Force Majeure
Refresh shall not be liable to any person by reason of any delay or failure to perform any of the Refresh obligations under the contract if the delay or failure was due to circumstances or cause beyond our control.
